Picking forex CRM software is one of the most consequential technology decisions a broker makes. The CRM touches every client and every transaction, so a poor choice means years of manual work, errors and workarounds. Feature lists all look similar, which is why asking the right questions matters more than ticking boxes. These twelve questions separate software that runs a brokerage from software that merely stores contacts.

1. Is it built for forex, or adapted from something generic?

Generic sales CRMs do not understand trading accounts, balances, leverage, groups or commissions. Adapting one means building those concepts yourself. Look for software designed around the broker workflow from the start. If you need a refresher on the building blocks, see our complete forex CRM guide.

2. How deep is the MetaTrader integration?

The CRM should connect to MT4 or MT5 through the manager API to create accounts, change leverage and groups, process transactions and pull trade history live. Ask whether the connection is bidirectional and real time. Our explainer on the MetaTrader API shows why this matters.

3. Does it include the client-facing traders cabinet?

Some products are back-office only. Check that a branded traders cabinet is included or properly integrated, and understand the split between modules using our guide on forex CRM vs traders room vs back office.

4. How automated are deposits and withdrawals?

Ask what is instant, what is conditional and what stays manual. Automatic deposits, conditional automatic withdrawals and automatic internal transfers between a client’s own accounts remove the largest chunk of daily operational work.

5. How does KYC work?

You want documents in one place, status visible at a glance and one-click approve or reject. Check how it handles volume, expiry and re-verification, and what integrations exist with verification providers.

6. Can it run the IB and affiliate structure you plan?

Test your real commission model: tiers, multi-level hierarchies, per-lot or revenue-based payouts, and reporting by partner. IBs leave quickly if their numbers are wrong. See how multi-tier commission tracking works.

7. What about MAM, PAMM and copy trading?

If you plan to offer managed accounts or social trading, confirm it is built in rather than a separate paid product. We explain the options in our forex copytrader guide.

8. How are roles, permissions and audit trails handled?

Staff should see only what they need, and every sensitive action, such as approving a withdrawal, should be logged. This protects you from error and from internal fraud, and regulators will ask.

9. What are the support and communication tools?

A built-in ticketing system and live chat keep client conversations attached to the client record instead of scattered across inboxes.

10. What does it really cost?

Pricing models differ: flat licence, SaaS with a setup fee and monthly charge, or bundled into a package. Ask for a written, itemised quote covering setup, monthly fees, integrations, user limits and upgrades. For typical ranges and structures, read what brokers actually pay for forex CRM.

11. Can it be customised, and who does the work?

Every broker has quirks: payment methods, account types, bonuses, languages. Find out what can be configured by you, what needs the vendor and what the vendor charges for it.

12. What happens if you leave?

Ask who owns the data, whether you can export clients, accounts and history, and what the exit terms are. You will rarely need the answer, but you will be glad you checked.

See it work before you decide

The most revealing test is a live walkthrough of one complete client journey: registration, KYC, account creation, deposit, trade, withdrawal and IB commission. If a vendor cannot show that end to end, assume the gaps are filled by your staff. You can explore ours at Forex CRM, which has live and demo environments.

A quick decision rule

Rank the twelve questions by what costs you most in manual labour today, and weight your decision accordingly. For most brokers that is deposits and withdrawals, KYC and IB reporting. A CRM that automates those three well is usually worth more than one with a longer list of rarely used extras. For the rest of the launch, our forex broker setup checklist shows where the CRM decision fits.

Frequently asked questions

How do I choose forex CRM software?

Check that it integrates live with MetaTrader through the manager API, automates deposits, withdrawals and KYC, supports your IB structure, includes a client-facing traders cabinet, has transparent pricing and lets you leave with your data. Then see all of it working in a live demo.

Can I use a generic CRM for a forex brokerage?

It is possible but usually painful. Generic CRMs have no concept of trading accounts, margin, leverage or platform synchronisation, so brokers typically end up building scripts and manual workarounds.

How much does forex CRM software cost?

Models vary: flat licences, SaaS subscriptions with setup fees, or bundled inside a broker package. Insist on a written quote that covers setup, monthly fees, integrations and user limits.

What is the most common forex CRM mistake?

Treating the CRM as a feature checklist instead of an operations decision. The right system removes manual steps from your daily workflow; the wrong one adds them.
